Terms of Service

1. Acceptance
These Terms govern your use of Stampify(the "Service"), produced by CyberITEX(the "Provider", "we", "us"). By granting admin consent for Stampify on your Microsoft 365 or Google Workspace tenant, or by signing in to stampify.app, you ("Tenant", "you") agree to these Terms. If you don't agree, don't use the Service.
2. The Service
Stampify is a centrally-managed email signature system. We render an HTML signature for each user in your tenant based on (a) your tenant's brand-wide defaults, (b) any per-team or per-user templates you configure, and (c) the user's own data fields. The rendered signature is delivered into outgoing mail by client-side add-ins (Outlook for Microsoft 365, Gmail add-on for Google Workspace).
Our Privacy Policy describes what data we hold and how we secure it; it is incorporated into these Terms by reference.
3. Who can use the Service
You may use Stampify only if:
- You are a Microsoft 365 global admin or Google Workspace super admin authorised to grant admin consent on your tenant, or have been delegated that authority in writing.
- You are an organisation, not an individual consumer.
- Your jurisdiction does not prohibit use of cloud-hosted SaaS for email metadata.
4. Acceptable use
You agree not to:
- Use the Service to send spam, phishing, malware, or content that violates applicable law
- Insert tracking, malicious scripts, or hidden surveillance elements into rendered signatures via custom HTML or CSS
- Reverse-engineer, decompile, or attempt to extract the source of the Service except as expressly permitted by law
- Probe, scan, or test the Service for vulnerabilities outside of a coordinated disclosure programme (see § 13)
- Use the Service to impersonate another tenant, bypass row-level permissions, or access data you are not authorised to view
- Resell, sublicense, or rebrand the Service without a written agreement with CyberITEX
5. Tenant accounts and security
You are responsible for:
- Keeping admin credentials and API keys secure on your side
- The acts of your tenant admins, including admins you have delegated authority to
- Promptly revoking admin consent if Stampify is no longer needed, or if a tenant admin departs your organisation
- Configuring Stampify in a way that complies with your own data-protection obligations to your users
We provide tenant isolation via row-level permissions (Appwrite Teams), but you control which of your own users have admin rights inside Stampify.
6. Subscription, billing, and free trial
During the early-access period (first ten tenants), Stampify is provided at no charge while we validate the product. After that, the Service is billed per active license per month. Self-serve billing via Stripe lands in Phase 9 of the roadmap; until then, billing is handled directly between Provider and Tenant.
Pricing tiers, payment terms, and invoicing schedule will be communicated and accepted in writing before any charge is incurred. We will not silently start billing a free tenant without explicit consent.
7. Intellectual property
Our IP
Stampify, the Stampify name, the Stampify logo, the source code, and the design templates we ship by default are the property of CyberITEX. You receive a non-exclusive, non-transferable, revocable right to use the Service for the duration of your subscription.
Your IP
You retain all rights in the data, designs, brand assets, copy, and custom HTML/CSS templates you upload to or create within Stampify. You grant us a limited license to host, render, and serve that content as necessary to provide the Service.
8. Warranties and disclaimers
We warrant that we will provide the Service with reasonable skill and care, in accordance with the security and privacy commitments documented at stampify.app/security.
Beyond that, the Service is provided "as is" and "as available". We do not warrant that the Service will be uninterrupted, error-free, or that signatures will be inserted on every compose event in every Outlook or Gmail client. Microsoft and Google control the host applications; their changes may temporarily affect Stampify's behaviour.
9. Limitation of liability
To the maximum extent permitted by law, our total aggregate liability to you under or in connection with these Terms (whether in contract, tort, or otherwise) is limited to the fees you paid us in the twelve months preceding the event giving rise to the liability. We are not liable for indirect, consequential, or special damages, lost profits, lost goodwill, or business interruption.
Nothing in these Terms limits liability that cannot be limited under applicable law (for example, gross negligence or wilful misconduct).
10. Indemnification
You agree to indemnify and hold CyberITEX harmless from claims arising out of (a) content you upload to the Service, (b) your violation of these Terms, or (c) your violation of any third-party right, including any intellectual-property or privacy right.
11. Termination
You may terminate at any time by revoking admin consent in your Microsoft 365 or Google Workspace admin console, or by deleting your tenant from the Stampify dashboard. Both actions trigger a cascading deletion of your tenant data per our Privacy Policy.
We may suspend or terminate your access if you materially breach these Terms (including § 4) and fail to cure the breach within 30 days of written notice. We may also terminate immediately if your continued use creates a security or legal risk to other tenants.
12. Changes to the Service or these Terms
We may modify the Service over time, adding features, retiring minor surfaces, changing UI. Material changes that reduce the functionality you rely on will be communicated to tenant admins by email at least 30 days in advance.
We may update these Terms; material changes will be communicated by email at least 30 days before they take effect. Continued use after the effective date constitutes acceptance.
13. Coordinated security disclosure
If you discover a security vulnerability in Stampify, please report it to security@cyberitex.com. We will acknowledge within two business days and work with you in good faith on a remediation timeline. We don't pursue researchers who follow good-faith disclosure practices.
14. Governing law
These Terms are governed by the laws of the jurisdiction in which CyberITEX is established, without regard to its conflict-of-law principles. Any disputes arising under these Terms are subject to the exclusive jurisdiction of the competent courts in that jurisdiction.
15. Miscellaneous
- These Terms, together with the Privacy Policy and any signed order form, constitute the entire agreement between you and us regarding the Service.
- If any provision is held unenforceable, the remaining provisions remain in effect.
- Our failure to enforce a provision is not a waiver of our right to do so later.
- You may not assign these Terms without our prior written consent. We may assign them as part of a corporate reorganisation or sale of the business.
